Assistant to the School Business Administrator

DISTINGUISHING FEATURES OF THE CLASS

Under direct supervision from the School Business Administrator, this employee performs professional accounting work in maintaining accounting records, preparing reports and establishing and maintaining new and existing accounting systems. This employee maintains fund accounting records according to established account classifications and Generally Accepted Accounting Principles (GAAP). This employee assists administrative supervisors and the Treasurer in changing or establishing accounting procedures and may simplify and update existing systems. This employee will prepare related PowerPoint presentations, specialized reports, and data input including preparation of the annual budget. This employee does related work as required.

TYPICAL WORK ACTIVITIES AND JOB DUTIES

Maintains a varied and complex set of accounting records; posts entries to books from supporting records; makes adjusting entries;

Verifies unencumbered balances on books against the amounts reported monthly by auditors of the agency or department;

Assists in preparing the annual school district budget and related reports and Power Point presentations;

Reviews bills for support, authorization and accuracy;

Prepares received requisitions for approval into purchase orders;

Prepares specialized reports and customized Excel spreadsheets as needed;

Completes New York State Education Department forms and reports;

Supervises Food Service Program and related required tracking and reports;

Updates and maintains annual contracts for specialize services

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

Good knowledge of accounting principles and procedures and ability to apply such knowledge to accounting transactions; some knowledge of the general principles of public finance administration, including budgeting and financial reporting; strong working knowledge of Microsoft Excel and Word software programs; ability to prepare complete and accurate accounting reports, statements and budgets of some complexity; ability to perform detailed work including written or numeric data and to make arithmetic calculations rapidly and accurately; ability to follow complex oral and written instructions. Preference will be given to the candidate who has experience and knowledge of governmental and fund accounting principles.

MINIMUM QUALIFICATIONS

Four (4) year Bachelor's and Master’s Degree in Accounting, Finance, or Business, which includes, or is supplemented by, at least twenty-four (24) credits in Accounting, and two (2) years of experience as an accountant or auditor and hold either a New York State School Business Administrator’s License (SBA) or a New York State School District Business Leader’s License (SDBL).
